Main Responsibilities:
Assistance to Regional Representative (RR):
to arrange meetings with different agencies/organizations
to provide transaltion (English into Russian and vice versa)
to take minutes of Management meetings
to prepare the documents for money reimbursement or finance reporting
Communications support to the office focusing on achievement of the following results:
to screen and register all incoming calls and correspondence coming by fax, e-mail, post, courier service.
to meet office guests/visitors, to respond to office mail under RR or Admin guidance.
to register outgoing correspondence in hard copy; organizing its dispatch/shipment by post, courier service., etc.,
to manage office communication system, including switchboard, fax, etc.
to coordinate travel of IFRC staff, consultants (including booking travel tickets, booking hotels, ordering taxi if requested)
to assist in arranging high-level conferences and meetings in Moscow (booking of conference rooms; provision of equipment and interpreters, organizing lunches, coffee breaks, etc.)
to assist in visa support
to update information files
to order printing of the business cards for office staff
to order stationery for office upon staff requests
to coordinate work for documents translation (negotiating with translators, providing documents electronically or in a hard copy, to make a general check of the quality of the translation, preparing documents for payment, archiving translated documents for further use)
to provide welcome packs and out-of-office entertainment for office guests if requested
Finance issues:
ensuring that original invoices /receipts are received to complete payment authorizations for office equipment maintenance; telephone/internet (MTS, MTR telecom, Sovintel), taxi services; tickets, hotel bookings, courier service, stationery vendors.
to write memos, ensuring a clear explanation of the costs done is provided for audit purposes.
Requirements:
University Degree or Equivalent
Strong English (oral and written). French is a plus.
At least three years of progressively responsible administrative experience
Understanding of the political, social and cultural situation in the Region
Experience of working for NGO
Excellent skills in networking with other professionals, agencies and organisations
