Office Administrator/ Purchasing  Specialist

Mission:

  • Carrying out procurement activities in an area of materials and services; providing the effective work of the office.

Job responsibilities:

  • Reception of entering calls, telefaxes, the post correspondence and a direction of the received information to corresponding employees
  • office work organization, receives and allocates incoming  & out coming correspondence and facsimiles, sort and direct mail to the proper person
  • greet, assist, meets visitors and customers, provides with necessary information;
  • Preparing and conducting contract and price negotiations for small to medium volumes to contribute to the profitability of the company;
  • Maintain contacts with interface partners to recognize developments (in market, demand, etc.) and exert influence accordingly;
  • Monitoring the national and international market to bring new suppliers, product derivatives, and product innovations into the purchasing portfolio;
  • Monitoring contractual agreements to prepare renegotiations/subsequent negotiations, initiate appropriate measures and guarantee supplies;
  • Operational work - Purchase order processing:
    • Incoming calls
    • IT (office equipment, software, hardware, spare parts, mobile phones, cartridges)
    • Mobile Network (issue, receipt, replacement of sim-cards, contract renewal)
    • Office supplies (stationery, household goods, water/coffee ordering)
    • Furniture
    • Express shipments (post handling, post shipments, post receipt)
    • Translation service (translations ordering)
    • Travel (taxi and tickets ordering, visa services, update of hotels’ database, hotel reservation)
    • Fleet management (car purchasing, Fuel card administration per 15 cars per month, Processing of service invoices, Documents processing (medical statement, car waybill))
    • Reports (taxi, express shipments, fleet reports, travel agency)
    • Supplier management (all contracted suppliers, including cleaning service provider)
    • Projects (expense claims; conference/training/events preparation)
  • Requirements to candidate:
    • higher education (preferable economical)
    • experience in procurement processes 1 year;
    • fluency in Ukrainian, Russian and English in writing and speaking
    • knowledge of modern computer and office technique (PC, copier, fax, scanner) as a user
    • knowledge of modern office software (MS Office, Lotus Notes) as a user
